Technology Transformation at a Global Sporting Organisation  

During a recent project managed by Eximious Alliance, we had the pleasure of working closely with our client to review their technology team’s structure and operating models. Our collaboration involved identifying gaps within the organisation and aligning them with business needs — something we love to do! We also focused on change management, delivering a portfolio of technology projects, and guiding the organisation on a transformational journey. The client chose to partner with us because of our experience in developing frameworks and approaches around complex problems, and for our knack for bringing in and implementing best practices. 

From Tradition to Technology 

With a rich history and deep-rooted traditions, our client presented us with some interesting challenges in integrating modern technology. This is something we see a lot with our clients, and even with those of our competitors. Traditional ways of doing things often need a thoughtful engagement program before any changes can begin. Through our conversations with key stakeholders, it became clear that the COVID-19 pandemic had highlighted the need for the organisation to modernise their processes, moving away from outdated practices that couldn’t be completed online. Initially, the organisation’s members viewed technology as just traditional IT hardware or digital platforms like websites and apps, but they quickly realised there was so much more to it. Our team worked hard to shift this mindset, showing how technology could be an amazing tool for making jobs easier, improving performance, and streamlining processes — no matter where in the world you are! 

Despite having all the right ideas and enthusiasm, the organisation didn’t have the resources and structures needed for a project of this size. That’s when they decided to team up with us to step in and ensure the project was planned, implemented, and delivered successfully. Organisations often hesitate to change or upgrade their systems because they lack the right teams, and that’s exactly where we come in! 

From Sending Letters to Setting Up CRM Systems  

The transformation project, driven by our team and the client’s team together, led to some really exciting changes in their technology and operations. Key parts of the project included upgrading ranking systems and digital platforms to make data easier to access, and overhauling backend systems to boost overall efficiency. One of the highlights was modernising the player relations team: moving from old-school methods, like sending letters, to a CRM system that helped them manage relationships with amateur and professional players much more effectively — and at the level these players deserve. 

Another important aspect of the project was working hand-in-hand with the organisation’s international affiliates. We aimed to provide them with the right tools and platforms for growth and networking, along with centralised data points. This part of the project was all about supporting the sport’s global expansion by making it easier to share resources and speed up distribution. 

Building Data and Technology Change Capability 

Recognising how crucial data is for making smart decisions and planning strategically, the client’s team decided to build a dedicated data team within their technology department. They also understood the benefits of having specialised resources to support technology changes. We were there every step of the way, from helping to craft job descriptions to recruiting and interviewing potential team members. Although the client had a good idea of what they wanted, our specialist knowledge helped them bring in just the right people for the job. 

Change Management for the Win 

A key factor in the success of this project was change management, especially with the challenges of introducing new technology and processes into an already well-established system — something we encounter quite often! Change management can be tricky, but with our tried and tested methods and approaches, we felt confident in tackling it. For this project, we considered how the changes would impact internal teams and end-users, planned how to smoothly adopt the new systems, and identified the training needed for everyone to succeed. A great example was when we implemented a learning management system, which required careful planning, communication, and training to make sure the organisation’s success continued long after our work was done.
